Setup
Purpose: To create understanding and alignment around the top responsibilities of team members. Works best with a group of 5 - 8 people.
Materials: Easel Post-it Paper, standard size sticky notes, markers, display equipment (projector, TV, etc.)
Before the activity, each team member fills out and shares their uMap™ with the group. The facilitator writes each team member’s name on individual easel/post-it paper, drawing a line down the center.
Instructions
Step 1: Begin by having one team member display their uMap™. They will read their top responsibilities to the team.
Step 2: The team is asked to "add 2 responsibilities" (in addition to those shown) and write them on two separate sticky notes provided. When finished, team members will stick each response to the easel paper on the left side of the line.
Step 3: Once complete, the facilitator will read each response, grouping items that are similar.
Step 4: The facilitator then poses questions that lead to a discussion on whether
the responsibilities of the individual should change based on the outcome of responses.
Step 5: The team is asked to "eliminate 1 responsibility" from the list of responsibilities shown. The each team member will write their responses on a sticky note provided and place it on the right side of the easel paper.
Step 6: The facilitator will again group responses that are similar and lead discussion around whether to change any responsibilities on the individual’s uMap™.
The facilitator will repeat this exercise until all group members have gone.
Takeaway's
The discussions will identify multiple misconceptions about the roles of team members. Some require simple clarification or explanation while others will uncover fundamental misunderstandings, or even disagreements around role definitions. The facilitator's job is to drive the discussion toward determining whether themes found in the "add" column are worthy of replacing themes identified in the "eliminate" column.
The outcome of the discussion is typically:
1. Each team member will add/replace one or more responsibility on their uMap™ or,
2. Re-writes their responsibilities to be clearer to their teammates.
Either way, the team emerges with clarity and shared purpose. The exercise is about practicing healthy conflict, a quality that is critical to high-functioning teams.
